For each of a matter's tasks, it is possible to set a traffic light system. The red and amber lights will alert the user that a task needs reviewing. This help article will teach you about the functionality of the settings and how to access them within a matter's template.

Where Do I Find a Task's Traffic Light Settings?

A task's traffic light settings can be found within the relevant matter template. To access them, follow the simple steps below:

  • Click on the 'Settings' tab.

  • Click on the 'Edit' button on the relevant matter template.

  • Click on the 'Tasks' tab.

  • Click on the 'Edit' pencil icon on the task that you wish to adjust the traffic light settings.

  • Scroll down the page until you see settings for traffic lights, as pictured below. 

What Do the Different Settings Mean?

As shown in the image above, there are three options for the traffic light settings. Each are explained below:

This task has no effect on amber/red lights

If this option is selected, no matter how long the task is left incomplete it will not trigger a traffic light alert to the user. 

If this task is incomplete and the matter has not been updated in ... days the amber/red light will be shown on your matter list  

If this option is selected, the matter will change colour if the task has been left incomplete after the stated amount of days.

You can set it, so that the task goes amber in 2 days and then red 3 days after that.

If the task is incomplete and the date/datetime field ... is within ... turn on the amber/red light 

This option is more complex than the previous and relates to a time frame specific to a task that has a date or datetime field. 

A good example of this would be the completion date of a matter. This would, for example, require custom data with the question, 'When will the property complete?', and an answer type of date or date/time. 

Providing an answer to this question would set a date in the future that the matter had to be completed.

With this information saved into the matter, the first drop-down menu now provides the option 'When will this property complete?', which was the custom data's question. 

The second drop-down menu will allow you to specify a time for the traffic light to trigger related to the task. For example, in the image above, the amber traffic light will turn on 12 hours before the property is due to complete.

What is the Difference Between an Amber Traffic Light and a Red Traffic Light?

A red traffic light is more urgent that an amber traffic light. Both traffic lights can be used, however red will always overrule amber. This means that a matter may begin amber, but if left inactive may turn red at a later date.
