What is a Data Marker?

When a new matter is opened, you will be asked a series of questions that will gather information uniquely relevant to the matter. For example, the purchase price of a property. This information is saved within the matter, to be referenced by the data markers.

A data marker is a tool that allows you to specify data to be pulled from the matter and placed within an email or document template. For example, the data marker for a property's price is {{property.price}}. If used within a template, this data marker will pull the property's price from the information saved within the matter and input it into the new document or email.

When used correctly, data markers become an efficient tool for saving time.

Note: the data marker can only input data into the new document or email if it exists within the matter.

Where Can I Find an Existing Database of Data Markers? 

Within InTouch exists a database of data markers that can be used when building your own templates.To find this database, follow the instructions below:

1. Click on the 'Settings' tab.

2. Click on the 'Document Templates' button. 

3. Click on the 'Data Markers' tab. 

Each data marker is shown alongside its related question, the type of answer that can be given to the question, and an example of the answer. 

How Do I Create My Own Data Marker?

If you do not find the data marker that you were looking for within this list, it is possible to create your own. 

The new data marker can be inputted as custom data within the matter template that it will be used.

How Do I Use a Data Marker?

To use a data marker, it must be inputted directly into an email or document template. If you are unsure of how to edit these, please follow the links below. 

Write the data marker in the email or document template exactly where you wish the data to appear using the same punctuation and spacing around it. Below is an example of how this should look. 


Common Questions

Why isn't my data marker working?

There are two possible reasons that your data marker isn't working. The first is that the data marker has been entered incorrectly into the template. For example, ensure that the correct number and type of brackets (squiggle brackets) are used and that the words are typed exactly as they appear within the database of data markers. See below for an example of how a data marker should look.

The second possible reason that the data marker isn't working properly is that the relevant data has not been entered into the matter. For example, if you are using the data marker {{property.price}}, ensure that the property's price has been inputted. 

I've just created a new data marker. Can its related question be asked when opening a new matter?

Yes, this is a simple process that involves editing the relevant custom data within the matter template. Please follow the steps below:

  1. Click on the 'Settings' tab. 
  2. Click on the 'Matter Templates' button.
  3. Click on the 'Edit' button on the relevant matter.
  4. Click on the 'Custom Data' tab.
  5. Click on the 'Edit' button on the relevant custom data.
  6. Scroll down and tick the checkbox 'Ask for this when matter is opened?'
